Tax Office Administrator
Sheffield Village, OH
We are seeking a detail-oriented and highly organized Tax Office Administrator to support our tax team in delivering accurate and timely services to our clients. This role is critical to maintaining efficient workflow during tax season and throughout the year, ensuring compliance, and keeping client communications and documentation on track.
Key Responsibilities:
- Process and assemble individual and business tax returns using CCH Axcess
- Manage electronic delivery of tax returns through SafeSend, including monitoring status and troubleshooting client issues
- Track and enforce tax control procedures, including timely receipt of signed e-file authorization forms (e.g., Form 8879)
- File W-2s and 1099s with the IRS and applicable state agencies accurately and on time
- Receive, organize, and distribute client documents submitted via mail, in person, and electronically
- Maintain accurate client records and ensure proper documentation within internal systems
- Coordinate with tax preparers and other staff to ensure deadlines are met and workflows remain efficient
- Communicate with clients regarding missing information, signatures, and general status updates
- Assist with administrative tasks as needed to support the tax team
Required Qualifications:
- Prior experience working in a tax or accounting office
- Hands-on experience with CCH Axcess and SafeSend Returns is required
- Strong understanding of tax return processing and filing procedures (including W-2s and 1099s)
- Exceptional attention to detail and organizational skills
- Ability to manage multiple deadlines in a fast-paced environment
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite
Preferred Qualifications:
- Familiarity with tax season workflows and compliance requirements
- Experience with client portals or document management systems
- Ability to identify and resolve process inefficiencies
